A Digital Signature Certificate (DSC) is the highly secure, electronic equivalent of a physical handwritten signature. It establishes your legal identity in the digital realm and ensures that digitally signed documents cannot be altered or tampered with after signing.

In India, Digital Signatures are governed by the Information Technology Act, 2000. They are issued strictly by authorized Certifying Authorities (CAs)—such as eMudhra, VSign, or Sify—which operate under the direct jurisdiction of the Controller of Certifying Authorities (CCA), Ministry of Electronics & Information Technology. To ensure maximum security, the government mandates that the cryptographic keys of a DSC must be stored safely in a specialized, FIPS-certified physical USB Token (e.g., ePass2003 or ProxKey).


Who Needs This? (Mandatory Applicability)

A DSC is legally required for individuals and organizations to authenticate various statutory and commercial filings on government portals. It is mandatory for:

  • Company Directors & Partners: Required for securing a Director Identification Number (DIN) and filing annual returns (AOC-4, MGT-7) with the Ministry of Corporate Affairs (MCA).

  • Taxpayers & Authorized Signatories: Required by corporate entities, LLPs, and audited firms to file Income Tax Returns (ITR) and GST Returns.

  • Government Contractors: Mandatory for businesses bidding on e-Tenders, e-Procurements, and e-Auctions (e.g., Railways, PWD, ONGC, Defense).

  • Importers & Exporters: Required for communicating with the Directorate General of Foreign Trade (DGFT) portal for licenses.

  • Employers: Necessary for filing Employee Provident Fund (EPF) and Employee State Insurance (ESI) claims and returns.

  • Professionals: Mandatory for Chartered Accountants (CAs), Company Secretaries (CS), and Advocates for certifying client forms.


Types or Classifications

Note: As per CCA guidelines effective January 2021, the issuance of Class 2 DSCs has been completely discontinued. Class 3 DSC is now the highest and only standard of security for all electronic filings in India.

  • DGFT DSC: A specialized certificate issued specifically to organizations with a valid Import Export Code (IEC) to file documents securely on the DGFT portal.


Validity & Renewal

  • Validity Period: Digital Signature Certificates can be legally issued with a validity of 1 Year, 2 Years, or 3 Years. (We highly recommend the 2-year or 3-year option for better cost-efficiency and uninterrupted compliance).

  • Renewal: A DSC must be renewed before or immediately upon its expiry. If renewed promptly, the new certificate can be remotely downloaded onto your existing USB token. If it expires, you must undergo the full identity verification process again.

Q. What happens if I lose my USB Token?

If your USB token is lost or stolen, it is a security risk. You cannot retrieve a lost certificate. You must immediately inform us to revoke/cancel the old certificate and apply for a brand new DSC and token.

Q. Can Non-Resident Indians (NRIs) or Foreign Directors get a DSC?
A.
Yes, foreign nationals and NRIs can obtain a DSC. Since they do not have an Aadhaar card, the process is paper-based and requires copies of their Passport and address proof, which must be notarized or apostilled in their home country.

Q. I only need a DSC for e-Tendering. Which one should I buy?
A.
For e-Tendering and e-Procurement on portals like CPWD, IRCTC, or ONGC, you strictly need a Class 3 Combo DSC (which includes both Signature and Encryption certificates).
